Privacy Policy

Parents own their data. Everything you enter into IEP Guardian — your child's profile, documents, accommodation logs, communication records, and exported PDFs — belongs to you. We do not claim ownership of any content you create.

Ivory Digital, LLC acts as the data controller for IEP Guardian. Your data is stored on your behalf and is accessible only to your account. Ivory Digital, LLC will never sell, rent, or trade your personal information to third parties for marketing or commercial purposes.

We collect only what's necessary to provide the service:

• Your email address (for account authentication)
• Your child's first name, grade, and plan type (IEP or 504)
• Upcoming meeting date (optional)
• Accommodation tracking status and notes you enter
• Communication log entries you create
• Documents you upload to the Document Vault
• Checklist progress and meeting prep notes

We do not collect browsing history, device fingerprints, or behavioral advertising data. We do not use third-party advertising trackers.

Your information is used exclusively to provide IEP Guardian's features:

• Personalizing your meeting prep checklist
• Generating Meeting Pack and Strategy Summary PDFs
• Powering AI Meeting Prep suggestions (your data is sent to an AI model; it is not used to train models)
• Sending optional meeting reminders
• Securely storing your documents

We do not analyze your data for marketing purposes or share it with advertisers.

We take reasonable and industry-standard precautions to protect your data:

• Encryption in transit: All data transmitted between your browser and our servers uses TLS/HTTPS encryption.
• Encryption at rest: Data stored in our database is encrypted at rest.
• Row-level access controls: Your records are isolated at the database level — only your authenticated account can read or write your data.
• No shared data: No other parent, user, or third party can access your records.

Important: IEP Guardian is not a HIPAA-covered entity and does not make HIPAA compliance claims. We do not store clinical notes, medical records, or Protected Health Information (PHI) as defined under HIPAA. Do not upload medical records you are legally obligated to protect under HIPAA.

You can export your data anytime. From the Exports section of the app, you can generate a PDF of all your records including accommodation logs, communication history, and meeting prep content.

You can delete your data anytime. You may request full deletion of your account and all associated data by contacting us through the app or via email. We will process deletion requests within 30 days. Deleted data cannot be recovered.

We do not hold your data hostage. You can leave at any time and take everything with you.

Accounts may only be created by adults (parents and legal guardians aged 18+). We do not knowingly create accounts for children under 13.

Information about your child (first name, age, grade, plan type) is stored under your parent account and is used only to personalize your experience. Your child does not have a separate account and cannot access the platform.

IEP Guardian is not a medical application. The "diagnosis type" field (e.g., ADHD – Inattentive) is used only to personalize your checklist — it is not clinical data and is not shared with any healthcare provider.

Please do not upload documents that contain Protected Health Information (PHI) such as medical records, psychiatric evaluations, or clinical assessments that fall under HIPAA protections. Upload only documents directly related to educational planning (IEPs, 504s, school communications).

IEP Guardian is an educational organizational tool only. It is designed to help parents prepare for IEP and 504 meetings by organizing information and generating prompts and summaries.

Nothing in IEP Guardian constitutes or should be construed as:

• Legal advice or legal representation
• Medical advice or medical guidance
• Professional educational advocacy
• A guarantee of any outcome in school proceedings

Always consult a qualified attorney, educational advocate, or medical professional for guidance specific to your child's situation.

Ivory Digital, LLC expressly disclaims all liability for any action taken or not taken in reliance on the content, outputs, or suggestions provided by IEP Guardian. Neither IEP Guardian nor Ivory Digital, LLC assumes any responsibility for educational, legal, medical, or financial outcomes arising from use of this tool.

Questions about this Privacy Policy or requests to export or delete your data can be submitted through the app's Settings page or by contacting Ivory Digital, LLC at the address on file. We aim to respond to all requests within 5 business days.
